About the Role
An exciting opportunity has become available for an organised and proactive Office Administrator to join the team. This is a varied, all-round role where you'll be responsible for ensuring the smooth day-to-day running of the office while providing administrative support across the business.
As the first point of contact, you'll manage reception, answer incoming phone calls, welcome clients and visitors, coordinate meetings, support project administration, assist with Accounts Payable and Accounts Receivable, and provide administrative support to the General Manager and wider team.
Key Responsibilities
- Manage reception, answer incoming phone calls and greet clients and visitors in a friendly and professional manner.
- Provide administrative support to the General Manager and wider team.
- Coordinate meetings, appointments and project communications.
- Support the day-to-day running of the office, including general administration and maintaining organised records.
- Process Accounts Payable and Accounts Receivable, including invoice processing, reconciliations and maintaining accurate financial records.
- Assist with project administration, document management and maintaining organised project files.
- Liaise with clients, consultants, suppliers and internal teams to ensure projects and communications run smoothly.
- Assist with onboarding, office events and general business administration.
- Utilise Microsoft Office, CRM software, Wrike and Xero Projects to maintain accurate records and workflows.
About You
To be successful in this role, you will have:
- Previous experience in an Office Administration or Reception role.
- Experience with Accounts Payable and Accounts Receivable.
- A friendly, professional manner with excellent customer service skills.
- Strong organisational skills and the ability to manage multiple priorities.
- Excellent communication skills and a high level of attention to detail.
- Confidence using Microsoft Office and the ability to pick up new systems quickly.
- A proactive attitude and a willingness to support the wider team wherever needed.
