The Role
  • Coordinate and prioritise work across the Planning and Engineering teams, ensuring projects keep moving.
  • Support staff with accountability around deadlines, actions and deliverables.
  • Monitor projects and identify additional or out-of-scope work.
  • Assist with client approvals, sign-offs and variations.
  • Identify upcoming project milestones and proactively flag these to Finance to support timely invoicing.
  • Learn and assist with the invoicing process over time.
  • Maintain and update project information across WorkflowMax and Xero.
  • Provide general project administration and coordination across both teams.
  • Answer incoming calls and act as a professional first point of contact for clients and visitors.
  • Provide reception and general office support when required.
About You 
 

We are looking for someone who is organised, confident and proactive, with the ability to work across multiple priorities and keep people accountable to deadlines.

You will ideally have:

  • Previous experience in project administration, coordination, office administration or a similar role.
  • Strong organisational skills and attention to detail.
  • Excellent communication and follow-up skills.
  • Confidence dealing with clients and being the first point of contact.
  • A proactive approach and the ability to identify what needs to be done without being asked.
  • Strong systems capability and an ability to learn new software quickly.
  • Experience with WorkflowMax, Xero or similar systems would be advantageous.
  • A genuine willingness to assist with reception and general office responsibilities.
