POSITION: Property & Tenant Coordinator REPORTS TO: Senior Property Manager UPDATES: April 2022 MAIN DUTIES The Property & Tenant Coordinator plays a crucial role in the broader Operations team by assisting the Property Manager(s), with the operational property management, precinct and associated infrastructure. Tenant Liaison The Property & Tenant Coordinator will be based in the office to ensure. • that all tenant requests are followed through and actioned in a timely manner, this includes programming and issuing of access control cards and keys. • through exceptional customer service, build solid and positive relationships with tenant representatives. • professional communication both oral and written to tenants and internal and external stakeholders. • Ensure minutes of meetings are typed accurately and distributed as efficiently as possible. • Ensure the Property Manager is kept informed of all tenant related queries. • Ensure all associated property operations administration reports and correspondence is filed when completed. Contractor Liaison & Building Maintenance All requests to Contractor to perform works on behalf of Canberra Airport and its associated entities are actioned and followed up in a timely manner. When requested by the Property Manager(s), ensure that all internal and external stakeholders requests are followed through and actioned in a timely manner, this includes programming and issuing of access control cards and keys, ensuring that requests made to contractors to perform works on behalf of Canberra Airport are actioned and followed up in a timely manner. All invoices are to be accurately coded and processed in a timely manner. Building Maintenance • Assisting the Property Manager(s) with the contracted and non-contracted maintenance of the relevant precinct. • Review service documentation in consultation with the Property Manager(s), and file accordingly • Track and maintain registrations, compliance reviews and documentation. • through exceptional customer service, build solid and positive relationships with tenant representatives. • professional communication both oral and written to tenants and internal and external stakeholders. • Ensure minutes of meetings are typed accurately and distributed as efficiently as possible. • Ensure the Property Manager is kept informed of all tenant related queries. • Ensure all associated property operations administration reports and correspondence is filed when completed. Represent Capital Airport Group to external parties Effective representation of the Capital Airport Group to get desired outcome for our business and build relationships with key stakeholders. WHS Compliance Ensuring that all Contractors engaged by the Canberra Airport have been inducted and have provided the relevant paperwork for the job they are engaged for. Review contractors conducting works to ensure WHS compliance is met. Reception Relief In this role, you will be required to cover reception on a rotational roster as directed by HR management. This means from time to time there may be a requirement to assist with reception at last minute therefore positively adapting to this requirement is essential. Other The Property & Tenant Coordinator should understand that from time to time there may be a requirement to assist and cover other colleagues roles due to leave and/or operational requirements. Any other duties as directed by the Senior Management Team. POSITION ATTRIBUTES: The Property & Tenant Coordinator will need to have the following core attributes; Excellent Written and Oral Communication Skills The Property & Tenant Coordinator will be communicating with the public and tenants and building strong relationships across airport. These relationships include both internal and external clients of Canberra Airport. Team Player The Property & Tenant Coordinator will demonstrate teamwork skills within the Property Team and across airport. This includes no office politics by showing equal respect to your colleagues and team members at all times. As the Property Team have daily interaction with the public and all the Property and support teams, the Property & Tenant Coordinator will too have this same level of contact and will need to develop and foster positive internal and external relationships to manage ad-hoc duties and tasks. Delivery of Service The Property & Tenant Coordinator must ensure the delivery of service to the public, sub-contractors; tenants and clients are attended to in the first instance. This involves the constant feedback on progress to the stakeholders to ensure the delivery of service is of a high standard. Presentation and Image The Property & Tenant Coordinator must be professionally presented and have a clear understanding that they are representing the Airport in a professional manner at all times. Canberra Airport Values The Property & Tenant Coordinator will positively follow the Canberra Airport values to ensure the Canberra Airport culture is maintained as a family owned, positive, professional business. Self-Starter The role requires a level of autonomy in that the Property & Tenant Coordinator provides support to the Property Manager(s) and will not have to require ongoing direction. That is, the Property & Tenant Coordinator will understand the position and create opportunities to better the role with fresh ideas and innovative ways of undertaking it. Feedback The Property & Tenant Coordinator will participate from time to time in a feedback process such as 180/360 degree or a formal review as part of their professional development. The Property & Tenant Coordinator will use this feedback to understand development and learning opportunities associated with their role within the business. Annual reviews will be conducted with your direct manager and/or Head of Human Resources as well as encouraging live feedback at any time you or your manager feel necessary during your employment. It is expected that Property & Tenant Coordinator e engage in feedback discussions in an open and constructive manner and work together with their manager on genuine opportunities to improve performance. Risk management All Capital Airport Group and its associated entity employees have a duty to identify and assess potential risks that may hinder the reputation, safety, security and financial prosperity of Capital Airport Group and its associated entities. â–ª Manage the process of identifying and assessing the risks that could/would affect the business. â–ª Report and communicate risk issues to Risk Management Committee as soon as possible. â–ª Implement where appropriate, risk control actions. â–ª Comply and implement systems, policies and procedures for the identification of risk. â–ª Collection, analysis of risk related and compliance information and share with Capital Airport Group and its associated entity employees and management where required. Security Clearance All Airport employees are required to apply for, and to continually meet the conditions of eligibility for an Aviation Security ID Card (ASIC), which includes a police records check, at all times during their employment. In the event that you are assessed as ineligible for an ASIC, or you cease to meet the conditions of eligibility for an ASIC at any time, your employment with the Capital Airport Group will not be able to continue. Dependent on the role a further baseline clearance may be required. Pre-Employment Medical Assessment As part of Canberra Airport's Drug and Alcohol Management Plan (DAMP), all airport employees are required to undertake a pre-employment medical assessment before receiving their letter of offer. In the event that you are assessed as not suitable by the medical assessor’s physician, your offer of employment with the Capital Airport Group will not be able to continue.
